[caption id="" align="alignleft" width="200" caption="Gtdagenda"][/caption] Recently on my personal blog at mdonahoe.com, I wrote a rant-like post about using "Getting Things Done" philosophy by David Allen utilizing Google's new task feature in gmail.  I was very quickly emailed by Dan Baluta, developer of Gtdagenda to try out his service and write a review good, bad, or ugly.  He stated that his product did solve some of the issues I stated. A service must be mobile / accessible (not an iphone but a simple pda and it must be compatible with  the GTD method.  So here it is: Look & Feel When you log into Gtdagenda.com the first thing you think to yourself is it looks very basic but yet attractive.  There's no flashy flash objects moving around making you drool, nothing to exciting going on here, you can tell right away this is built with simplicity and fuctionality in mind.  There is a navigational menu across the top, a small calendar to the right, and sort of a shortcut menu to the right.  The left large column is where the goods lie.  Graphically it is very minimalistic; but at the same time they have nice color combos with blue and green gradients that make it look nice and tight. Usability I'm a huge fan of David Allen's, "Getting Things Done" (going forth will just be refferred as GTD).  I've used a number of tools such as the Outlook plugin, and Merlin Man's Hipster PDA concept, all very good and each with issues that I continue to try to find other options for assistance.  In any case if you do follow the GTD concepts for task management the minute you open up gtdagenda, like me, you will feel like a kid gettting turned loose at a carival with a $20 bill.  It has all the goods, a context menu to show you tasks by where you are or other defined contexts.  I immediately put in 'get cat litter' under errands to see if this pig can oink.  You can create goals and projects as well.  Projects can be linked to goals, and tasks to projects as well, or not at all if you prefer.  I didn't have to create a project in order to remind myself to get the cat litter for instance. On any task you can flag it to be a 'next action' which will alternatively allow you to see under a tab called next actions.  Keeping your long list of to-do's nice and easy, streamlined, and on track to keep all of your projects moving forward.  Also you can set priorities to your tasks which will automatically group them accordingly for you.  You can request that a task auto repeat in various timescales.  You can also add a note to a task for future reference as well.  All list screens offer the ability to print, export to XML, or email.  The XML was an upgrade that occurred since the time I've been reviewing this software which is pretty exciting if you want to export to other softwares.  Unfortunately, at this time I haven't tried the XML feature out yet, but I hope to soon.  I have tried the pringt feature, I have to say I was very happy that when you hit the print icon it shows you just the list information only.  In doing so I was able to print this to a 4" X 6" index card, possibly revitalizing my hipster PDA usage...  The email feature is nice as it will send the list to you, and there is a nice email feature in which you can email a task directly to the service and it will add it to the tasks list.  You can then at a later time edit the task to assign it to a project and/or a goal. Another feature, which I haven't really seen on any other GTD software is the checklist feature.  You can add a line item and either assign days of the week or months of the year, etc where you can check off things.  The tutorials for the site offer uses for workout schedules, morning rituals, etc.  There is also a schedule feature where you can put meetings and events, or schedule future tasks. Mobility & Accessibility The mobility aspect of gtdagenda is in my oppinion it's greatest strength.  It worked perfectly in a small pda screen. From my BlackBerry Pearl, I was able to fully navigate and see everything perfectly.  It was completely usable, and in fact I could pull up my errands and see what I needed.  [Unfortunately cell phone coverage isn't great at the nearby Krogers and I forgot the stupid cat litter that night.]  I decided to run gtdagenda through an acid test since it does appear to be very accessible.  I opened a 'Links' browser [text browser], fired up Orca screen reader to see if it works.  I first visited the main site and logged in at http://gtdagenda.com - all the menus were there, the calendar seemed out of place at the very bottom, but I was rather thankful for that.  I didn't really want Orca to count off every single day of the calendar.  Even though it looks accessible for some reason I could not get it to display the tasks.  I then opened the mobile site at http://gtdagenda.mobi and it was perfect.  I could see everything and move around easily.  I can't say whether the visually impaired commonly use mobile sites for this reason or not, but I think I may try to find out after this testing. Concerns / Pitfalls As I was using gtdagenda I wasn't overly impressed by it's calendar.  I think I have overall pretty low expectations for a calendar in that it must remind me with time, date,  place, and notes of an event.  The problem was that the calendar at the time of testing did not allow you to put a time to an event.  I am certain that the intent was for task only items which should be handled by date, but I really like to see what's on my calendar such as meeting times to know how my time will be affected in accomplishing tasks.  I realize that opens up a whole can of development nightmares to get alerts and all sorts of other bells and whistles activated that go with calendars but in my oppinion this is a critical thing to have from a planning perspective.  I did send an email to Dan Baluta about this concern and he said it will be taken into consideration for future upgrades. As I had mentioned before the checklists were a fantastic feature; however, I think it is under done.  So when you add a checklist, it's really a checklist item and you have the ability to 'Check' days of the week / month / year, etc.  So you don't have separate lists, you have one huge list that is time based.  As an example you have a work out routine that you may put on here, you have a weekly planning ritual, house cleaning checklist, and so on.  There is no way to keep the house cleaning 'vacuuming' out of the list of weekly 'turn in my time sheet' to do 50 situps and work the biceps.  It all has to be in the same list.  Essentially in my opinion you only have one very huge checklist. The pricing model to me needs an overhaul perhaps.  The premium version isn't that expensive for what you get at 7.95 / month or about $70 a y with unlimited use of all the features.  However, the free and the basic are limited with caps on the usage.  Basic having 30 goals and 50 projects, etc and the free having 3 goals and 5 projects, with no schedules or calendar.  To me the free version is useless.  Who has only 3 goals.  Show me a person with 3 goals and only 5 projects and I'll show you a person who really doesn't need this software, and a person with a delightful grin.  I think they should just make the Basic setup free of charge and just get rid of the existing 'Free' arrangement. I would have much preferred to see something like gtdagenda in the open source community to really get it's development pushed along a lot further.  However, I think with the complexities of GTD's framework, it may steer into other territories.  I haven't seen an open source task management system that is this close to the GTD framework. End Result All in all this is a great web applicaiton.  I'm going to continue to use it in scale for my home activities but not for work...yet.  As I initially played around with gtdagenda I kept chanting to myself, "These guys are really on to something here!"  over and over again.  I would love to see this task framework tied through an api or something of the like to other apps.  If I could only have Sugar CRM OS with gtdagenda's task manager, and evernote's note books, and gmail's email all rolled together...  well I might just get a thing or two done.
